Check In
For the busy front desk, the Check In module features a variety of ways to get your members working out in no time. The system provides a rapid check in by scanning the member’s key tag, membership card or RFID (radio-frequency identification). If the member has forgotten their access card, the user can search for the member using alternative member information. In addition, the software can work with biometric entrance control solutions. 
Behind the scenes, the software tracks how the member was checked in - members that frequently forget their key tag or membership card can be identified. Check In can activate turnstiles or magnetically locked doors.
Designed to work with a variety of hardware, this module has many ergonomic features including oversized fonts, easy-to-see graphics and audio sounds. Members from any of your gyms can check in through a swipe of a key tag or a simple name lookup. Additionally, Check In can control a turnstile in under a second!
Friendly icons will display if there are important messages regarding the status of a member’s account, or if the member has services like personal training, locker rental or baby-sitting along with their general membership. Check In also has a family gallery to make it easy to check in multiple family members at the same time by showing their photos.
Retail Point of Sale
The Point of Sale module emulates the experience of a traditional cash register environment. Capture credit card and check authorization in real time! Membership sales and payments can be taken through the Point of Sale module. This module has been designed with big buttons and lots of pictures so that it can be used with a touch screen for ease of operation. Transactions can be tracked by salesperson. Prices can either be preset or designated at the point of sale.
Point Of Sale has been designed to allow country club style “on account” charges which can be billed at the end of the month or you can track “Club Bucks” which allows the member to prepay an account and redeem them at Point Of Sale. Additionally, the Point Of Sale module can perform online credit card charging, debit card processing and check authorization. The end of day reconciliation process then allows the back office to approve all charges before they are posted to a member’s account. This module captures all transactions for membership agreements, retail pro-shop transactions, activity registration and package sales such as personal training, tennis lessons or other services.
Inventory Management
The Point of Sale module provides Inventory Management. Each item defined as an inventory item can have an on hand quantity associated with the item at each club. The sale of such an item will automatically reduce on-hand quantity. In the case of a refunded item, the system will prompt the user to decide whether or not to add the item back to the quantity on-hand. The system also includes an inventory receiving module, and any manual adjustments to the inventory quantities are tracked by the system.
Today it is more important than ever to protect your business against fraud. The system helps protect you by tracking discounts, refunds, voids and cash drawer openings (without an accompanying transaction). With its effective shift management including cash count capability, your staff can change without disrupting the flow at the register.
Agreement Writer
The Agreement Writer with Signature Capture allows your sales staff to create printed membership agreements within the system. If desired, your club’s pricing can be centrally controlled from the back office; EFT information can also be electronically collected by check and credit card scanner. The outputted documents are branded with your club’s logos to provide a professional and easy-to-read membership agreement. By using a signature capture clipboard you can store membership documents electronically with instant recall of the entire agreement.
Package Sales
Conexion’s Club Management Software is equipped with the ability to track a member’s usage of purchased personal training, tennis sessions, tanning or other items that you designate. When sessions are redeemed the software tracks the service provider that redeems and services the session. This package sales tracking can be coupled with biometric technology for accuracy and fraud control. It also features the ability for back office personnel to freeze package redemption and administer packages. Utilizing all of these features can eliminate paper traffic and provide both members and service providers with up to date information about session utilization.
Membership Management
The Membership Management module is a central location for data entry and membership edits - it is the system’s business intelligence center. With infinitely scalable architecture, this is the center for data entry and edits to your members’ information. All modules within the Conexion Club Management Software suite feed into, and pull data from the Membership Management module.
From emergency contact to contract exploration, and with access to over 100 fitness and health-specific fields, this module is the brain and nervous system of Conexion.
This module also hosts a flexible membership reporting system which can easily give you both detailed and summary information about your database. Changes to a member’s account are tracked by user, date, time and the specific information changed. All of the membership administration can be performed from one location or distributed amongst disparate users based upon security rights. All new member entry and changes can subsequently be audited. All pick lists are user definable.
The software provides the ability to track and send emails. These emails can contain both HTML and plain text to be read by a wide variety of email clients. All emails transmitted from the mass mail system are tracked. This allows everyone from the front desk on up to be able to follow the communication trail.
The software suite tracks all member usage and can be used to communicate with members that aren’t using the facilities regularly. It also allows the end-user to identify members that are at risk of canceling their membership due to low utilization and can provide retention specialists with the tools they need to contact and manage these "at risk" members. The software also notifies the front desk of how frequently the member uses the facility when they check in.
The software can provide comprehensive locker management to support the usage of fixed resources within the facility. These locker management features include defining men’s and women’s locker banks, the assignment of these lockers, reporting on open and in use lockers, and can be tied to an expiration date if lockers are allowed for finite periods only.
Sales and Prospecting
The Sales and Prospecting module enables sales managers and sales staff a comprehensive way to improve membership sales and tracking. This module enables a club to track it members all the way through the sales cycle. It logs critical prospect data while presenting different views and functions for the sales person and sales manager.
Easily track that prospect’s preferences and history, assign specific future communication activities to that prospect, and review promotions or offers presented to them. Once a prospect becomes a member, information then moves to the Membership Management database. For sales manager, this module offers a way to organize and account for all sales related activities – a workflow is built into it, and can be fully customized for the club.
Scheduling
The Scheduling module offers clubs an easy way for their employees to schedule activities for the club and its members for which a roster, or sign-up, is required. Easily enter all appropriate information about a class or activity to register it in the system. The system provides multiple views into each activity offered – a class can be cross-referenced with others in the system if that particular one is full, closed, or unable to meet the scheduling needs of the members. Additionally, member’s can be placed on an automated wait list.
Once an activity is in the system, accessing membership data associated with that activity is as easy as swiping a barcode (or looking up a member number) and assigning the member to the class. All data related to the scheduled classes (and each specific member) is stored in the Membership Management database. Running class reports is simple, too. Reports can be run on specific activities, days, times, locations, (non)attendance, instructors, and more.
Reports
With over 250 pre-designed reports available, and unlimited custom reporting capabilities, vital information tracked in the system can be reported back to you in a summarized or detailed format. Reports can be generated for any field or record in the system and can be exported to Microsoft Word, Excel, ASCII text files and many other formats.
Some standard reports include but are not limited to membership details and lists, activities, billing, renewals, point of sale transactions, membership sales, packaged services, club usage, and much much more.
With access to all of the information in the software, every report can be scaled up or down according to your preferences and the amount of detail you desire.
